Overview of the Position
The Coordinator, Events and Festival Programs is responsible for assisting with the planning and execution of partner engagement events, community activities and festival programming during Games time. The Coordinator is an integral Host Society team member who builds and cultivates community spirit and support to gain local, provincial and national awareness for the St. John’s 2025 Canada Games.
Key Responsibilities
This role will be responsible for, but not limited to:
- Supporting the design, planning, and execution of festival programs and pre-Games milestone events, including concerts, sponsored events, milestone celebrations, and more.
- Coordinating and managing various details and aspects of event operations and execution, including:
- The development of critical paths, work back schedules, and time management strategies;
- Vendor and supplier sourcing and management, including reviewing contractual agreements, providing onboarding, ongoing relationship management, and budget oversight;
- Coordinating and scheduling event volunteers, staff, contractors, and production team members, as required;
- Conducting operational planning and on-site venue coordination, including overseeing the set-up of decor, catering, entertainment, transportation and equipment;
- Collaborating with the Brand, Marketing and Communications teams to ensure successful event promotion; and
- Ensuring compliance with accessibility, insurance, legal, and health and safety standards;
- Being a fully engaged team member with a goal of positive and healthy relationships in the workplace
- Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the St. John’s 2025 Canada Games, and;
- Fulfilling all other duties as reasonably required.
Education/Experience
- Undergraduate Degree or Diploma in Business Administration, Special Events Planning, Hospitality and Tourism, Public Relations, Events Management, Marketing, or a related field of study;
- Minimum three (3) years of related work or freelance event planning experience or a combined equivalent of education and work experience.
Qualifications
- A valid Newfoundland and Labrador Class 5 (or higher) operator’s license;
- Creative, results-oriented, able to deliver on deadlines and deliverables
- Experience with Google’s G Suite programs (e.g. Gmail, Docs, Slides, Forms and Calendar, etc.)
- Knowledge and experience working in a not-for-profit, events, or multi-sport Games environment
- Experience managing, supervising and delegating employees, teams, vendors, suppliers, and contractors;
- Flexible understanding of events and strong team orientation and coordination style;
- Excellent Communication and interpersonal skills;
- Strong organizational and time management skills;
- Ability to liaise and interact with multiple partners, locally, provincially and nationally.
Other
- Bilingualism (English and French) is an asset.
- Flexibility to work evenings, weekends, and holidays, as required.
Conditions of Employment
- Office hours are 40 hours/week
