Overview of the Position
The Assistant, Ceremonies & Festivals, will support the planning and implementation of the ceremonies and festivals program.
Key Responsibilities
This role will be responsible for, but not limited to:
- Supporting the planning, development, and execution of all events, including:
- Opening and Closing ceremonies
- Pre-Games milestones events
- Medal Ceremonies pre-planning and volunteer training
- Artistic Festival and Cultural Program
- Assisting and collaborating with other functional areas with event execution, such as test events, pre-conferences, etc.;
- Supporting the planning and coordination of event logistics, including setup, scheduling, and vendor management;
- Coordinating details of event and venue logistics for the ceremonies, working closely with volunteers, staff, contractors, and production teams;
- Assisting in coordinating with external partners, vendors, and suppliers for event services, equipment, and other support needs;
- Supporting the maintenance of event timelines, checklists, and schedules to ensure efficient event planning and execution;
- Being a fully engaged team member with a goal of positive and healthy relationships in the workplace
- Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the St. John’s 2025 Canada Games, and;
- Fulfilling all other duties as reasonably required.
Education/Experience
- Undergraduate degree, diploma or certificate in Event Management, Event Planning, Hospitality, Recreation, or another related field;
- Minimum two (2) years of related work experience or a combined equivalent of education and work experience.
Qualifications
- Strong organizational skills and attention to detail;
- Strong communication skills, both written and oral;
- Ability to adapt to changing requirements;
- Creative, results-oriented, able to deliver on deadlines and deliverables
- Experience with Google’s G Suite programs (e.g. Gmail, Docs, Slides, Forms and Calendar, etc.)
- Knowledge and experience working in a not-for-profit, events, or multi-sport Games environment
- Ability to liaise and interact with multiple partners, locally, provincially and nationally.
Other
- Bilingualism (English and French) is an asset.
- Based on position requirements, flexibility to work evenings, weekends and holidays
Conditions of Employment
- Office hours are 40 hours/week
