Team Operations Manager
Ottawa Rapid FC joins clubs in Vancouver, Calgary, Toronto, Montreal, and Halifax as a founding member of the Northern Super League, Canada’s first women’s pro soccer league. The Club is hiring a small core group of full-time leaders, supported by a team of specialists, that will roll up their sleeves and multi-task to thoughtfully and strategically build a new women’s pro soccer Club serving fans in Ottawa-Gatineau.
The Team Operations Manager will be responsible for overseeing the daily operations and management of the soccer team. This role includes player support, logistical coordination, compliance with league regulations, and ensuring a seamless game-day experience for players and staff. The Team Operations Manager will work closely with the coaching staff, medical team, administration and other departments to ensure the team is fully prepared for training, games, and travel.
The Team Operations Manager will also work closely with the league in administering the status and transfer of players in compliance with the policies and procedures of Canada Soccer, the FIFA Regulations on the Status and Transfer of Players.
Key responsibilities include:
Player and Staff Coordination
- Serve as the primary liaison between players, coaching staff, medical staff, and club administration.
- Manage team rosters, ensuring accurate and up-to-date information for league and club requirements.
- Manage all aspects of travel for the team and staff.
- Ensure that coaching, medical, and support staff are aligned with daily schedules and resources.
- Manage onboarding for new players and staff, helping with housing, local orientation.
- Oversee and manage the Player Care and Operations Coordinator.
Game and Training Preparation
- Oversee all logistical aspects for training sessions and matches, including equipment, transport, and accommodations.
- Ensure the setup of training facilities and match-day environments meets professional standards.
- Coordinate with stadium staff for match-day operations, including entry protocols, locker room setups, and other on-site requirements.
Travel Management
- Plan and organize all travel arrangements for away games, including booking flights, accommodations, meals, transportation, and all necessary logistics.
- Accompany the team on road trips, handling in-trip logistics, and troubleshooting as needed to ensure a smooth experience for players and staff.
- Coordinate with meal providers to ensure meals meet players’ dietary needs, whether catered locally or during away games.
Budget and Inventory Management
- Assist in developing and managing the annual budget for team operations, working with finance to monitor spending on travel, equipment, accommodations, and meals.
- Oversee equipment manager to ensure inventory for team equipment, kits, medical supplies, and other necessities, ensuring timely replenishment and compliance with sponsorship agreements.
Compliance and Administration
- Maintain up-to-date documentation for player registrations, transfers, work permits, and other essential records, submitting them promptly as required by Soccer Canada, FIFA, the club, the league and any associated organisations.
- Ensure team adherence to league policies, disciplinary codes, and operational guidelines.
Event Coordination and Media
- Collaborate with the marketing and communications team to coordinate player appearances and community outreach events.
- Prepare and distribute team schedules, game-day itineraries, and other information to stakeholders.
Other
- The Team Operations Manager will report directly to the Chief Sport Officer and offer adaptable support as required.
Required Qualifications:
- Exceptional oral, written, and interpersonal communication skills, with an ability to get points/ideas across in a succinct and professional manner
- Excellent organizational skills.
- A minimum of 3 years in a team management or operations role within a professional sport setting, preferably soccer.
- Experience creating project plans, managing timelines, planning effective meetings, and clear communication on next steps
- Ability to work in a dynamic environment with non-standard working hours (evenings and weekends)
- Ability to travel and work flexible hours, including weekends and evenings.
Having these qualifications will set you apart:
- Strong knowledge of soccer league operations, regulations, and protocols.
- Proven ability to handle multiple tasks in a fast-paced environment.
- Proficiency with team management software and familiarity with budgeting
- Ability to speak French is an asset.
Job details:
- This is a full-time, permanent hybrid position that requires the candidate to be in Ottawa
- Salary range is $70,000 – 80,000 plus comprehensive health benefits.
